Celebrating 25 Years as a vibrant part of the Tonbridge community
Details of our next AGM on 2 July 2025 are available here
Further Notice of Annual General Meeting at 2.00pm on Wednesday 2 July 2025
in Medway Hall, Angel Centre, Tonbridge
As notified in the May Journal, we are holding our Annual General Meeting (AGM) at 2.00pm on Wednesday, 2 July 2025, in the Medway Hall, Angel Centre.
The purpose of this further notice is to let you know that we will be asking you to vote on a proposal, recommended by the Management Committee, to amend the Tonbridge u3a Constitution by deleting the final sentence of Clause 9(i). Our Constitution can be found on our website in the section entitled “Publications” under the sub-section entitled “Policy and Guidance Documents”.
The purpose of the proposed change is two-fold: to ensure that we can operate the Tonbridge u3a bank accounts in an efficient and pragmatic way, and to ensure that our Constitution aligns with the way we operate our bank accounts, which is predominantly via online banking. For your information, any payment that exceeds £250 requires the authorisation of our Treasurer plus a second review by, and authorisation from another member of the Committee, which is normally our Secretary. In addition, the accounts are presented to the full Management Committee ahead of each Management Committee Meeting, and time is taken to discuss the accounts, as necessary. We hope that Members will support this change.
Update regarding the AGM notice published in the May Journal
The Management Committee is delighted to confirm that Jeni Brennan has agreed to stand as Publicity Coordinator.
As such, there are now two vacant positions on the Committee: Vice Chair and Study Day Coordinator. Please consider whether you would be willing to stand for one of these positions, or speak with anyone you think would be good for one of these two roles. Please see the May Journal for further information on what to do if either case applies.
Your u3a needs you to vote please!
In order for our AGM to be quorate, we need at least 10% of the membership to either be present at the AGM or to vote via the Proxy Notice that you will receive along with your AGM papers. 10% might not sound like a big percentage, but last year, our AGM was quorate only because a number of people took the time to vote via the Proxy Notice form. If these people had not voted, we would have had to run the AGM all over again, which would have been frustrating and a waste of Tonbridge u3a money.
We encourage all of you to attend the meeting in person, but if you are unable to do so, please vote via the Proxy Notice form which can be found here.
As you will see, you can use either the Quick Vote facility or you can vote on each motion separately. Full instructions on how to vote can be found with the form.
The Management Committee thanks you for your cooperation in this matter.
